Calculate email marketing cost without a false comparison

A practical, evidence-led decision guide. Product capabilities and limits are separated from anything that would require hands-on testing.

Email-platform prices are not comparable until the billing unit is normalized. One vendor charges mainly by contacts, another by sends, and another uses both. Seats, automation, transactional email and subscriber definitions can invalidate the cheapest-looking tier.

Collect six inputs

Record peak active or billable contacts, messages in the busiest month, required users, monthly versus annual preference, automation requirements and whether transactional delivery is mandatory. Use peak values because many vendors upgrade accounts when a threshold is crossed.

Normalize without inventing numbers

For a true monthly plan, annualized cost is the exact monthly charge multiplied by 12 and should be described as the cost if held for 12 months. For an annual plan, use only the exact prepaid total. Do not multiply a rounded marketing label such as “$15.58 per month billed annually” and present the result as the vendor's invoice.

Compare three scenarios

Calculate current normal month, campaign peak and 12-month growth case. For each, document why a tier is eligible. If a source is regional, promotional, account-specific, stale or internally inconsistent, keep it outside numeric order and obtain a dated quote.

The lowest documented eligible cost is not the best product. After cost normalization, test the two strongest workflows using the same consent-clean data and acceptance criteria. Read the migration checklist before counting switching savings.

Document why a row is absent

An empty calculator result is useful information when the public evidence cannot establish an exact eligible tier. Record whether the blocker is a missing annual total, a regional checkout, unknown feature access, a quote-only plan or an unsupported workload. Contact the vendor with the same scenario inputs, date the response and keep it outside automated ordering until it is reconciled.
