An “AI-assisted” label says almost nothing about who made the article. A writer might use a tool to test five headlines after completing the research and draft. Another person might generate the entire article and correct two sentences before publication. Putting the same label on both processes hides the difference that matters.
An authorship record documents what people actually contributed: the questions chosen, sources evaluated, structure designed, analysis added and language rewritten. It is useful for editorial accountability and later corrections. It is not a shortcut to a legal conclusion.
Why keep a record at all?
The U.S. Copyright Office’s report on AI and copyrightability states that AI assistance does not exclude protection for human-authored expression. It also says purely AI-generated material is not protected, prompts alone generally do not provide sufficient control with current technology, and the assessment of human contribution is case-specific.
For a publisher, the immediate lesson is operational. “Human reviewed” is too vague. A contemporaneous record is more credible than trying to reconstruct the process months later.
Start with the level of record the article needs
Not every page needs the same administrative weight. Use a proportionate rule:

A 300-word newsletter introduction does not need a legal dossier. A report intended for exclusive licensing should not rely on a one-line disclosure.
Document decisions, not every keystroke
The record should be light enough that an editor will maintain it. Focus on creative and editorial decisions that shaped the published expression.
Research and purpose
Record who defined the reader, the question and the intended conclusion. List the primary sources selected and note why important sources were accepted or rejected.
Example:
The editor narrowed the article from general AI copyright questions to a practical authorship record for small publishers. Three U.S. Copyright Office sources were selected; vendor blogs were excluded from the legal explanation.
Structure and analysis
Save the human-approved outline and identify original frameworks, comparisons or calculations. If a generated outline was used, record which sections were removed, combined or reordered and why.
“Approved the outline” is weak evidence. “Moved the legal limitation before the template because readers could otherwise mistake the record for a guarantee” describes a real editorial choice.
Expressive contribution
Identify passages written independently by a person, substantial rewrites and creative selection or arrangement. Keep representative before-and-after excerpts rather than storing every intermediate token.
Do not inflate minor copy-editing into authorship. Changing punctuation, correcting a date or accepting an output unchanged should be described accurately.
Verification and responsibility
Name the person who checked material claims and the person who approved publication. Record unresolved limitations and the reason the article was still considered ready.

The “AI-assisted stages” field matters because omission can make the rest of the record misleading. The purpose is to describe the process, not to manufacture a stronger claim.

The field “generated material retained” is deliberately uncomfortable. If most of the expressive text remained unchanged, the record should say so rather than hiding behind the word “edited.”
Example: weak record versus useful record
Weak:
Written with AI and reviewed by the editorial team.
Useful:
T.R. defined the brief, selected the three primary sources and created the seven-field record. AI was used to propose two outline alternatives and identify repeated wording. The editor rejected both proposed conclusions, wrote the cost example, rewrote the introduction and verified each statement attributed to the Copyright Office. Final approval: T.R., 2 August 2026.
The second version is not better because it is longer. It identifies decisions that another reviewer can inspect.
A worked example for a product comparison
The following is hypothetical. It shows the level of specificity a standard record might contain without claiming that BenPicks performed this test.
- Article: Tool A vs Tool B, version 3, commit
abc123- Editor: M. Ionescu
- Human input: defined the comparison around revision time, collaboration and completed cost; selected official pricing pages and support documentation; calculated monthly cost at two publication volumes.
- AI assistance: proposed an initial table structure and three alternative explanations of the cost formula.
- Rejected output: removed a claim that Tool A was easier to use because no usability test supported it; rejected a generated conclusion naming an overall winner.
- Human contribution: rewrote the introduction, created the scoring thresholds, performed the calculations and wrote the final recommendation for two audience types.
- Verification: A. Pop verified prices, billing periods and plan limits on 2 August 2026.
- Known limitation: no hands-on editor comparison was completed.
- Approval: M. Ionescu, 3 August 2026.
Notice what makes this useful: it records the unsupported claim that was removed and the limitation that remained. An authorship record should preserve awkward facts, not only contributions that make the process look strong.
What belongs in public and what stays internal
Readers rarely need the full working record. A public methodology note can state the research basis, material use of automation, reviewer and update date. Keep prompts, drafts, internal comments and access details private when they contain confidential information or personal data.
One practical split is:
- on the article: author, research basis, checked date and a concise creation note where useful;
- in the editorial archive: the complete authorship record, source pack and representative revisions;
- in version control: the published changes and approval commit, without secrets or private source material.
Do not publish internal prompts merely to appear transparent. Transparency should help a reader judge the article, not expose information the team had a duty to protect.
Review the record before the article, not after it
At final approval, give the record to someone who did not write the draft. Ask that person to locate the source for one important claim, identify one substantial human contribution and explain the main limitation. If those answers take more than a few minutes, the record is too vague or scattered.
This small test is more revealing than counting edits. Ten pages of tracked changes can document activity without showing who made the important decisions.
Do not turn the log into performance theatre
An authorship record loses value when every article receives the same generic statement. Avoid:
- claiming “substantial editing” without examples;
- listing prompts as if they automatically establish authorship;
- naming a reviewer who did not read the final layout;
- describing automated checking as independent human verification;
- deleting raw outputs that are necessary to understand a disputed passage;
- assuming one country’s copyright analysis applies everywhere.
The record should be private by default when it contains internal material, personal data or commercially sensitive prompts. A public methodology page can explain the general process without exposing those inputs.
When to obtain legal advice
This editorial record is not a copyright registration analysis. Seek qualified advice when the work has significant commercial value, contains a large amount of generated expressive material, will be licensed exclusively, is part of a dispute or requires a formal registration decision.
Copyright rules differ across jurisdictions. The U.S. Copyright Office sources below explain the U.S. position and should not be presented as a universal rule.
The practical standard
Another editor should be able to reconstruct the division of work without interviewing the author: what the person decided, what the system supplied, what was rejected and which analysis or expression came from meaningful human work.
If that reconstruction is impossible, a more polished disclosure will not solve the problem. Improve the record while the work is still fresh.
